Clear briefs, visible actions and simple handovers are easier to use than a complicated system nobody maintains. These original blank templates give you a starting structure you can adapt.

The files are CSV spreadsheets: they can be opened in a spreadsheet application and saved in the format your business uses. Downloads are ungated and do not subscribe you to anything. Add only the information appropriate to your own working arrangements.

Three simple starting points.

Original blank CSV templates. Open them in your spreadsheet app and adapt the fields to your work. No sign-up required.

Task brief: agree what done looks like.

Use the task brief to name the output, the source information, the owner and the approval point. Fill it in before you choose a tool or build a long task list.

Keep instructions separate from background information. If an assumption affects the work, record it as a question for agreement. The template is a prompt for discussion, not a substitute for agreeing a commercial scope.

  • Outcome and acceptance check.
  • Source information and file location.
  • Deadline and dependencies.
  • Approval limits, exclusions and open questions.

Meeting action log: give each next step an owner.

Record the action as something a person can complete, rather than a topic to keep discussing. Agree an owner and date before leaving the meeting.

A short next-check column is useful when completion depends on someone else. Keep the action log current; the meeting notes can remain a record of the discussion rather than becoming a second competing task list.

Workflow map: follow the handovers.

Map one recurring process from the event that starts it to the output that finishes it. Include the information needed at each step, the person responsible and the handover to the next person.

Use the exception column to record what happens when information is missing or approval is delayed. This often reveals a more useful improvement than adding another status label. The blank template does not prescribe a particular system.

Keep only the fields you will use.

Try a template on one small piece of work. Remove fields that do not support a decision or handover, and rename the remaining columns so they make sense to your team.

Use the related articles for worked examples and fuller guidance. If maintaining a tracker becomes another task you cannot keep up with, discuss the outcome you need rather than assuming the solution is a more elaborate spreadsheet.
